Privacy notice

For the free check, the waitlist, the contact form and the optional Google Calendar import. Last updated 26 October 2026. When we open for clients, this notice will be extended before we ask for anything more.

Who we are

Pavlova Tax decides how your information is used (the “controller”). Contact us through the contact form.

What we collect and why

Free check: your answers are used in your browser to show the illustration. If you complete the three checks we keep an anonymous record (pay rounded into a band, days abroad, tax year, the result) to see who the check helps. It has no name, email or IP address. Our lawful basis is our legitimate interest in improving the service.

Waitlist: your email, mobile number, first name if you give it, any question you add, and a summary of your check (pay band, days, tax year, result). We use it to contact you by email, WhatsApp or text when we open and about your claim, and to prepare your adviser review. Our lawful basis is your consent, which you can withdraw at any time.

Contact form: your email, name if given, and message, used only to reply. Lawful basis: our legitimate interest in answering you.

We don't ask for your NI number, tax reference, bank details or documents at this stage. Please don't send them.

Google Calendar import (optional)

Inside a claim you can choose to connect Google Calendar instead of uploading a calendar file. It's a one-off import, not an ongoing connection.

  • What we ask Google for: read-only access to your list of calendars and the events in them (calendar.calendarlist.readonly and calendar.events.readonly). We can't create, change or delete anything, and we don't ask for your contacts, email or files.
  • What we read: events dated in the tax year you're claiming for, plus two weeks either side.
  • What we keep: only events that show travel: flights, and days placed outside the UK. For each we keep the date, title, location and times, saved as a calendar file in your claim as evidence of your overseas workdays. Every other event (meetings, personal appointments, attendees, descriptions) is discarded straight away and never stored.
  • Why: to build the day-by-day schedule of UK and overseas workdays that supports your Overseas Workday Relief claim. That is the only use.
  • Access is handed back at once: we use Google's access token for that single import and then revoke it. We never store it, so we can't read your calendar again unless you reconnect.
  • Who sees it: you and the tax adviser reviewing your claim. The kept travel events are stored with your claim on our hosting providers below. We don't share Google data with anyone else, use it for advertising, sell it, or use it to train AI models.
  • Deleting it: until you submit your claim you can remove the imported file yourself; it's deleted along with the travel events in it. After that, ask us. Once a return is filed we keep the evidence behind it while HMRC can still ask about the claim. You can also check or remove access in your Google Account, though we will already have given it back.

Pavlova Tax's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Who we share it with

Our hosting providers only: Vercel (website, running in London) and Supabase (database, stored in London). If we send you an email, WhatsApp message or text, the provider that delivers it processes it for that purpose (for WhatsApp, that's WhatsApp, owned by Meta). We don't sell or share your information for marketing, and we don't use advertising or tracking cookies.

Vercel is a US company. Where data could be accessed from outside the UK, it is covered by the UK's data adequacy arrangements or standard contractual clauses.

How long we keep it

Waitlist details: until you unsubscribe, or 12 months after we open if you don't become a client. Contact messages: 12 months. Anonymous check records: kept as statistics.

Your rights

You can ask for a copy of your information, ask us to correct or delete it, or withdraw consent. Every waitlist email has a link that unsubscribes you and deletes your details in one click. If you're unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk.

Cookies

We only use cookies that the site needs to work (for example, to carry your free-check answers into an account if you start one). No analytics or advertising cookies.
